Business analyst interview questions

Business analyst interview questions and answers

Business analyst interviews check how you turn vague business needs into clear requirements - and how you handle the people involved. These are the questions asked most, with what each one checks.

What to revise before the interview

  • Requirement elicitation: interviews, workshops, observation
  • BRD, FRD and user stories with acceptance criteria
  • Process mapping: as-is and to-be, BPMN basics
  • Gap analysis and SWOT
  • Agile and Scrum: backlog, sprints, ceremonies
  • Use cases, wireframes and prototypes
  • SQL and Excel for analysis
  • Stakeholder management and UAT
  1. 1.How do you gather requirements from stakeholders?

    What they're checking
    The core of the job.
    How to answer
Identify stakeholders, then use interviews, workshops and observing current work; ask why behind each request, document, and confirm your understanding back with them.
  2. 2.What is the difference between a BRD and an FRD?

    What they're checking
    Documentation basics.
    How to answer
A Business Requirements Document says what the business needs and why; a Functional Requirements Document says how the system must behave to meet those needs.
  3. 3.Write a user story for a feature.

    What they're checking
    Agile practice.
    How to answer
As a [user], I want [goal], so that [benefit], with acceptance criteria.
    Example answer
“As a customer, I want to save my address, so that I don't type it on every order. Acceptance: I can save up to five addresses, choose one at checkout, and edit or delete them from my profile.”
  4. 4.Two stakeholders want conflicting things. What do you do?

    What they're checking
    Stakeholder management.
    How to answer
Understand each one's underlying goal, bring data on impact, look for an option that serves both, and if not, take it to the person who owns the priority - with the trade-offs written down.
  5. 5.What is gap analysis?

    What they're checking
    Analytical method.
    How to answer
Compare the current state with the desired state, list the gaps, and define what's needed to close them - process, system or skills.
  6. 6.How do you prioritise requirements?

    What they're checking
    Judgement.
    How to answer
MoSCoW (Must, Should, Could, Won't) or value vs effort, agreed with stakeholders. Tie each priority to business value.
  7. 7.What happens in UAT, and what is your role?

    What they're checking
    Delivery responsibility.
    How to answer
User Acceptance Testing is where business users confirm the solution meets their needs. The BA prepares scenarios from requirements, supports users, and tracks and triages issues.
  8. 8.How do you handle requirements that keep changing?

    What they're checking
    Real-world project experience.
    How to answer
Accept that some change is normal: use a change process, assess impact on scope, time and cost, get approval, and keep the backlog and documents current.
  9. 9.Which tools do you use?

    What they're checking
    Practical readiness.
    How to answer
Name what you've used and for what: Jira or Azure DevOps for backlogs, Confluence for documentation, Visio, Lucidchart or Miro for process maps, Excel and SQL for data, Figma for wireframes.
  10. 10.Tell me about a requirement you got wrong, and what you learned.

    What they're checking
    Honesty and growth.
    How to answer
Pick a real example, explain how it was caught, how you fixed it and what you now do differently - for example, confirming edge cases with examples.

What is the difference between a business analyst and a data analyst?
